Please review our booking terms carefully before confirming your journey. By making a reservation, you agree to the following policies and conditions that ensure a smooth, transparent, and safe travel experience for all participants.
Agreement Overview
By booking a trip with Roots & Routes Africa / The Heritage Collection, you acknowledge that you have read, understood, and agree to all terms and conditions outlined below. These terms govern the relationship between the traveler (“you”) and the tour organizer (“we,” “us,” or “our”).
Booking & Payment
- A $500 deposit per traveler is required to confirm your booking.
- Deposits are non-refundable but may be applied toward future travel within 12 months if canceled before the payment deadline.
- Full payment must be completed by the specified dates outlined on the Booking Page or in your confirmation email.
- Failure to complete payment by the deadline may result in cancellation of your booking.
- Accepted payment methods include credit card, ACH bank transfer, or check. (Credit card payments incur a 2.9% processing fee.)
Cancellations & Refunds
- Cancellations must be made in writing via email.
- The deposit is non-refundable once paid.
- Cancellations received:
- More than 60 days before departure: 75% refund (excluding deposit).
- 30–60 days before departure: 50% refund.
- Less than 30 days before departure: No refund.
- No refunds for unused services, missed flights, or voluntary trip interruptions.
Itinerary & Program Changes
- We reserve the right to modify accommodations, transportation, or itinerary due to unforeseen circumstances (e.g., weather, safety, or local conditions).
- Substitutions will be of equal or greater value whenever possible.
- Any significant changes will be communicated promptly.
Travel Documents & Health
- Each traveler is responsible for obtaining and carrying valid passports, visas, and vaccination certificates as required by the destination countries.
- Passport must be valid for at least 6 months beyond the travel dates.
- We are not responsible for denied entry or additional costs due to incomplete documentation or non-compliance with health/vaccine regulations.
Insurance
- Comprehensive travel insurance (covering medical, trip cancellation, and lost baggage) is strongly recommended.
- Proof of insurance may be required before departure.
Responsibility & Liability
- We act only as an intermediary between travelers and service providers (airlines, hotels, guides, etc.).
- We are not liable for injury, loss, damage, delay, or expense resulting from acts of nature, government restrictions, or third-party suppliers.
- Travelers participate at their own risk and agree to follow all safety instructions during the tour.
Health & Safety
- Travelers must disclose any medical conditions that may affect participation.
- The organizer reserves the right to decline any traveler who may jeopardize the health, safety, or enjoyment of the group.
- All participants must comply with local laws and customs.
Photography & Media
- By joining this tour, you consent to being photographed or recorded during group activities.
- These materials may be used for promotional purposes unless you request otherwise in writing prior to departure.
Governing Law
- These Terms & Conditions are governed by the laws of the United States and applicable local jurisdictions where the tour operates.
- Any disputes shall be settled through mediation or arbitration before legal action is pursued.
